What is it?

The civil registry is a department of the municipality. The civil registry creates and keeps official documents of important events. These documents are called deeds. Examples of deeds:

  • birth certificate
  • marriage certificate
  • divorce certificate
  • death certificate

You can request a copy or excerpt of a deed from the municipality where the deed was created.

Copy or excerpt

A transcript is a copy of the deed with a stamp and signature of the registrar. An abstract contains only the personal information.

What to do.

You request a transcript or excerpt of civil status from the municipality where the deed was created. Indicate why you need the transcript or excerpt.

Requesting an extract

You can request an extract for the following people:

  • For yourself.
  • For your child. Even if he or she is older than 16.
  • For someone else, if that person authorizes you to do so. This can be in a letter in which he or she writes down that you are authorized to act as an agent.

International extract

An extract of civil status is available in more languages. Please indicate in your request that you want an international extract. An extract is only available in Dutch. If you need a transcript in another language, you must have the transcript translated by a sworn translator.

Authorize someone else

When someone else makes the application to the municipality for you, give them a letter that includes:

  • the reason why you need the transcript or excerpt
  • the name of the authorized representative
  • your signature
  • the signature of the authorized person

What do I need?

When applying online, you will need:

  • your DigiD
  • internet banking data

Personal request

  • valid identity card
  • debit card or cash

Written request

  • A copy of your valid ID
  • A letter stating why you need the transcript or excerpt
  • your signature on the letter

Authorize someone else

The authorized representative takes your authorization letter to the municipality with:

  • A copy of your valid ID
  • his or her own proof of identity

How long does it take?

  • If you request the transcript or excerpt in person at the municipality, you will receive it immediately. This also applies if you authorize someone to do so.
  • If you request the transcript or excerpt online or in writing, the municipality will send it to you by mail.
