Copy (extract) of civil registry

What is it?

The civil registry is a department of the municipality. The civil registry creates and stores official documents relating to important events. These documents are called certificates. Examples of certificates:

  • birth certificate
  • marriage certificate
  • divorce decree
  • death certificate

You can request a copy or extract of a deed from the municipality where the deed was drawn up.

Copy or extract

A transcript is a copy of the certificate with a stamp and signature from the registrar. An extract only contains personal details.

What should I do?

You can request a copy or extract from the civil registry at the municipality where the certificate was issued. Please indicate why you need the copy or extract.

Request an extract

You can request an extract for the following persons:

  • For yourself.
  • For your child. Even if he or she is over 16 years of age.
  • For someone else, if this person authorizes you to do so. This can be done in a letter in which he or she writes that you are authorized to act as a representative.

International extract

A civil registry extract is available in multiple languages. When submitting your request, please indicate that you would like an international extract. A civil registry transcript is only available in Dutch. If you require a transcript in another language, you must have it translated by a certified translator.

Authorize someone else

If someone else submits the application to the municipality on your behalf, provide them with a letter containing:

  • the reason why you need the transcript or extract
  • the name of the authorized representative
  • your signature
  • the signature of the authorized representative

What do I need?

For an online application, you will need:

  • your DigiD
  • online banking details

Personal requests

  • valid identification
  • debit card or cash

Written requests

  • a copy of your valid ID
  • a letter explaining why you need the transcript or extract
  • your signature on the letter

Authorize someone else

The authorized representative will take your letter of authorization to the municipality, along with:

  • a copy of your valid ID
  • his or her own identity document

How long will it take?

  • If you request the transcript or extract in person at the municipality, you will receive it immediately. This also applies if you authorize someone else to do so on your behalf.
  • If you request the transcript or extract online or in writing, the municipality will send it to you by mail.
